Senior Practice Administrator (multiple sites)

In collaboration with patients, families (as defined by the patient) and staff across all disciplines and departments is responsible for managing the business operations, ensuring quality patient care and processes and supervising the staff within a clinical setting (with a minimum of seven providers). Serves as a mentor to assigned Practice Administrators.


  • Manage all aspects of site operations and clinic support services, including but not limited to, ensuring adequate staffing for patient care, monitoring budgetary compliance and responding timely to patient or employee concerns.
  • Develop and utilize LEAN, Six Sigma and PCMH strategies, techniques and tools for process improvement and improve patient health care.
  • Lead the site in implementing continuous improvement principles that ensure patient access to up-to-date, evidence-based, quality clinical care.
  • Implement DSRIP projects as assigned by COO.
  • Maximize capacity and optimize customer service by analyzing and recommending changes in organizational systems and procedures and ensuring patient satisfaction, clinic flow, quality and financial and site productivity.
  • Maintain a healthy and safe environment for staff and patients.
  • Manage site activities related to federal and state funding sources and grants and ensure compliance with associated rules and regulations.
  • Conduct site staff meetings and participates in provider, practice improvement and other meetings as needed.
  • Work with Division Project Manager to design, implement and develop new programs, renovations and expansions related to the site.
  • Manage the operational and fiscal activities of the site to include staffing levels, budgets and financial and operating goals and plans and develops systems and procedures to improve the quality and efficiency of operations and meet productivity and quality goals.
  • Hire and supervise staff in accordance with personnel policies and procedures including orientation and training, providing career development advice, establishing employee goals, conducting performance reviews, coaching, counseling and disciplining staff, and recommending terminations if needed.
  • Work with community-based organizations, insurers, community coalitions and others to develop programs, events and new initiatives that promote community relations objectives in your surrounding community.
  • Travel between sites as needed. Travel outside of CommUnityCare up to 10% of the time.
  • Develop and manage volunteer and externship roles within health center setting.
  • May manage multiple health centers.
  • Educate staff on new processes.
  • Perform other duties as assigned.


  • Ensure all tasks provided and associated with patient care, patient administrative processes and related duties comply with all regulatory and accreditation standards including The Joint Commission and CommUnityCare Standard Operating Procedures and CommUnityCare Policies and Procedures.
  • Develop and maintain strong and favorable internal and external relationships, partnerships with Community Care Collaborative, co-workers, including clinical managers, clinical support staff, providers and business office staff and other partners.
  • Interact respectfully and collaboratively with patients and their families, striving to develop favorable relationships with families.
  • Collaborate with all members of the care team in providing patient-centered care.
  • Ensure all actions, job performance, personal conduct and communications represent CommUnityCare in a highly professional manner at all times.
  • Uphold and ensure compliance and attention to all company policies and procedures as well as the overall mission and values of the organization.
  • Complete all mandatory training and maintain appropriate credentials/licensure.

  • Bachelor’s degree in Business, Health Administration, or related field.
  • Demonstrated knowledge of medical practices, medical records administration, and clinic and physician/patient protocols.
  • Knowledge of principles and processes involved in business and organizational planning, coordination, and execution including resource allocation, leadership techniques and production methods.

Knowledge and Experience

  • A minimum of 5 years related experience with at least 3 years in a medical office in a management/supervisory capacity.
  • Demonstrated experience in short and long-term budgeting and forecasting.
  • Demonstrated success in directing staff in order to achieve a common goal.
  • Demonstrated experience and proficiency with tools, technology, and systems typically found within most health care environments (i.e. Microsoft Office Suite, patient records systems, EMR systems, etc.).

Physical/ Environmental

  • Constant sitting, standing and walking.
  • Frequent bending and reaching.
  • Occasional lifting and pushing.
  • A medium to high level of manual dexterity required.
