The Vaccine and IMMTRAC Manager is responsible for the overall planning and execution of the Texas Vaccines for Children and Adult Safety Net (TVFC/ASN) program within CommUnityCare. This position serves as the subject matter expert of the immunization program as well as the IMMTRAC Registry and will guide site leadership in the development and maintenance of site immunization status as well as monitor and track key performance metrics and goals to ensure site and organizational compliance as required by the TVFC/ASN program.
Essential Duties (at least 5 that are non‐negotiable duties and are absolutely pertinent to successfully completing the job without accommodations):
Manages and directs all elements of the Texas Vaccines for Children and Adult Safety Net (TVFC/ASN) program within CommUnityCare as well as serves as the point of contact for the program.
Serves as the system administrator for the IMMTRAC system, including but not limited to ensuring all staff who needs IMMTRAC access receives a password and is able to log into system and all access is terminated for team members who are no longer in a position that needs access.
Promotes vaccine, vaccine safety, vaccine preventable diseases and vaccine storage and handling per CDC guidelines through supported communication channels to inform team members of any program changes as well as ensure nursing leadership is educated on all program updates and workflow changes and be able to cascade the information down to front line staff.
Manages the annual reenrollment of participating health centers in the TVFC and IMMTRAC program provider agreement.
Develops mechanisms to monitor and evaluate the TVFC/ASN program and vaccine administration rates within CommUnityCare and uses the data to identify trends and remediation plans to correct processes, systems, and policies as needed to ensure compliance.
Participate in vaccine related audits as needed.
Follows up on findings from VFC audits and ensures clinic teams complete action plan(s) in compliance with recommendations.
Develop processes to assist health centers increase vaccination rates on children who are not up to date on their immunizations.
Ensures the collection, maintenance, use and dissemination of vaccine and TVFC/ASN related data and information is provided to vaccine coordinators, Nurse Managers, and as needed Nursing leadership to ensure all practices are current and in compliance with program requirements.
Maximize the use of information technology to collect, store and retrieve data and perform quality assurance on private
vaccine and TVDC/ASN related data and information.
Provides routine reports to operations and medical leadership on vaccine and TVDC/ASN related data and information.
Manages the Vaccine Management Plan to ensure compliance with CDC and TVFC/ASN storage and handling guidelines.
Monitors compliance with CDC/TVF/ASN guidelines for cold chain storage and handling and provides guidance as needed to ensure processes, systems, and policies are being adhered to.
Conducts announce and unannounced storage and handling site visits.
Manages the shipment of overstocked TVFC/ASN vaccines and vaccines approaching expiration in accordance to TVFC/ASN guidelines and approval process.
In collaboration with the Orientation and Education Department, ensures oversight and management of all immunization and IMMTRAC related orientation, competency, and training records are completed in a timely manner and stored in the appropriate source of record.
Manages contracts for cold chain monitoring, including after‐hours answering service if needed.
Maintains all immunization related SDO’s and ensure that they are accurate and current.
Manages contracts for annual preventative maintenance and repair of vaccine refrigerators and freezers.
Develops strong communication methods to cascade information.
Perform other duties as assigned.

High degree of knowledge and competency in the practice of nursing and documentation requirements.
Demonstrated success in directing staff to achieve a common goal.
Knowledge of IMMTRAC.
Demonstrated success in teaching others and assessing their learning.
Knowledge of state required immunizations.
Knowledge of ACIP recommended vaccination schedules for infants, children/adolescents and adults.
Knowledge of DSHS guidelines for TVFC program requirements.
Demonstrated success and familiarity with tools, technology and systems typically found with most health care environments (i.e. personal computer skills, spreadsheets, word processing, patient records systems, EMR systems, etc.).
Graduation from an accredited school of nursing.

Unrestricted Registered Nurse License in the State of Texas
