Overview

The Supervisor, Operations is responsible for maintaining daily operational functions across the organization, with a focus on staffing coordination, administrative support, and workflow optimization. This role supervises Operations Coordinators who provide administrative support to site-level teams and manages float staff to ensure adequate coverage and operational continuity. The Supervisor, Operations supports cross-functional initiatives, management of program functions, and drives continuous improvement aligned with strategic goals. The position collaborates with internal departments, external vendors, and community partners to enhance service delivery, operational efficiency, and patient experience.

Responsibilities

Essential Functions:

  • Provide operational support to the Director of Operations, contributing to strategic planning, execution of initiatives, and alignment of site-level activities with organizational priorities
  • Oversee daily operational activities across service sites, including float staff scheduling, administrative coordination, and workflow optimization.
  • Supervise Operations Coordinators who provide administrative support to operations teams, ensuring consistency, efficiency, and adherence to organizational standards.
  • Provide hands-on support and guidance to operations staff, fostering a collaborative and high-performing work environment.
  • Coordinate with internal departments and external vendors to proactively identify and resolve operational issues.
  • Monitor operational trends and implement solutions to improve service delivery, patient experience, and site performance.
  • Support strategic initiatives and special projects in collaboration with operations leadership, ensuring timely execution and measurable outcomes.
  • Assist in resource planning and allocation to support operational priorities and cost-effective service delivery.
  • Contribute to emergency preparedness planning and ensure operational continuity during disruptions.
  • Apply strong analytical and project management skills to solve problems, manage competing priorities, and drive continuous improvement.
  • Supervise Operations Coordinators and float staff, providing coaching, performance feedback, and development support.
  • Build and maintain a high-performing operations support team aligned with organizational values and service goals.
  • Support the implementation of service line initiatives, ensuring coordination across departments and alignment with strategic priorities.
  • Promote a positive, inclusive work environment by responding to staff needs and fostering engagement.
  • Conduct performance evaluations and competency assessments, delivering actionable feedback and growth plans.
  • Identify departmental training needs and implement competency-based learning strategies.
  • Collaborate with leadership to manage change initiatives and drive continuous improvement.
  • Ensure departmental compliance with applicable local, state, and federal regulations.
  • Facilitate communication and consensus-building among diverse stakeholder groups to support operational decision-making.

Knowledge, Skills and Abilities:

  • Knowledge of FQHC operations, including compliance with HRSA, Medicare, Medicaid, and HIPAA regulations.
  • Ability to ensure operational processes meet federal, state, and local regulatory standards.
  • Skilled in coordinating with cross-functional teams (e.g., Practice Management, Billing, Finance) to standardize workflows and documentation.
  • Strong communication skills—verbal and written—across all organizational levels and with external partners.
  • Proficient in project management, including planning, execution, and prioritization of multiple initiatives.
  • Demonstrated ability to lead teams, provide direction, and foster a high-performance culture.
  • Effective in analyzing operational data to support decision-making and continuous improvement.
  • Adaptable in fast-paced environments and responsive to changing priorities.
  • Committed to organizational excellence, attention to detail, and follow-through.

Qualifications

Minimum Education:

  • High School Diploma or equivalent (higher degree accepted)

Preferred Minimum Experience:

  • 3 years Healthcare Operations
  • 3 years Administrative Management
